The American Heart Association (AHA) has an excellent opportunity for an Executive Assistant in our Legal Department located at our National Center office in Dallas, TX . The Executive Assistant will provide executive-level administrative support to the General Counsel, Assistant General Counsel, Director of Compliance and Director of Governance. Responsibilities include:
Essential Job Duties:
Receives, screens and routes calls; responds to meeting requests and inquiries.
Maintains General Counsel’s calendar by planning and scheduling meetings, conferences, teleconferences, and travel; preparing packets for meetings and travel.
Supports the General Counsel and Assistant General Counsel with departmental meetings, including creating agendas, recording and tracking action items, and handling related communications.
Assists the General Counsel with creation and maintenance of electronic files and records of legal and business matters in the department’s systems.
Schedules meetings, assists with agendas, annotated agendas, exhibits, and provides logistical support to the Director of Governance for the national Board of Directors meetings.
Drafts correspondence, reports and other documents for General Counsel review.
Provides administrative support and project coordination for the Deputy General Counsel, Assistant General Counsel and Director of Compliance as needed.
Provides backup phone support and coverage for CEO Office.
Provides backup administrative legal support for Operations Manager.
Maintains records, registrations and renewals and other legal documentation.

Minimum of five (5) years of experience providing professional support at the senior management or executive level. Legal assistant experience a plus.
Knowledge of standard administrative practices, office procedures, record keeping, filing and telephone etiquette.
Knowledge of the principles and practices of meeting planning and administration.
Experience with project management or coordination, especially in a legal, corporate records, or regulatory compliance environment.
Skill in effective written and oral communications, including drafting and editing/revising agendas, exhibits and minutes.
Proficiency in Microsoft Office applications, document management and accounting systems or other business applications.
Ability to work independently, and to initiate and follow up on all assigned tasks without supervision.
Excellent organizational and time management skills.
Ability to interact with all levels of AHA volunteers and staff with excellent interpersonal skills.
