Atlas Oil Legal Administrator in Birmingham, Michigan
Simon Group Holdings is a family office holding company in Birmingham, Michigan managing oil and gas distribution, oilfield services and transportation and logistics operating subsidiaries, private equity funds, start-up ventures and real estate and other investments. Atlas Oil Company, a subsidiary, is a premier national fuel supply and distribution company.
The Legal Administrator will have primary responsibility for supporting the Simon Group Holdings Legal Department and secondary responsibility for supporting the Simon Group Holdings family office. Areas of focus will be transactional support, litigation support, maintenance of files and corporate records, and maintenance of state licenses and qualifications. The Legal Administrator will have significant interaction with management of Simon Group Holdings and its business units, external counsel and business partners.
Required Education / Certifications
Associates Degree in related field
Paralegal Certificate or Bachelor’s Degree preferred
Primary Responsibilities & Scope
Support all aspects of Simon Group Holdings transactions, including initial intake of contract requests, review and drafting, internal process for executing, and filing of executed agreements.
Establish and maintain working relationships with internal and external customers to obtain final executed contracts. Organize, manage and maintain comprehensive contracts files.
Support litigation, claims management and insurance matters for Legal Department, including discovery responses, document searches and production, discovery deadlines, and possess overall familiarity of the litigation process.
Assist with management and oversight of outside counsel expense, including budgeting, review, processing and payment of law firm and expert witness invoices, preparation of outside counsel engagement letters and monitoring of outside counsel expense. Thorough understanding of the Legal Tracker legal expense software required.
Prepare meeting minutes, consent resolutions, other corporate governance activities and maintain up to date organization chart for Simon Group Holdings and subsidiaries.
Prepare correspondence, documents, presentations, and training materials.
Provide high level clerical and administrative support to in-house attorneys, including maintaining attorneys' calendars, opening and distributing mail, coordinating all details of meetings/calls/conferences, expense statements, coordinating electronic data rooms, email and file management, photocopying.
Manage certain regulatory filings, permits and licensing, including state corporate registrations, business licenses and permits and registrations with other regulatory agencies
A minimum of 5 years of directly related legal experience.
Proficient in MS office (exceptional Word, Excel and Outlook skills), Power Point skills.
Excellent oral and written communication skills.
Must be organized and detail oriented, organized, possess initiative, able to prioritize.
Ability to handle confidential and sensitive Simon Group Holdings information.
Demonstrate good judgment to balance working independently with knowing when to ask for direction.
